Kachinode Inc. ("we," "us," or "our") complies with Japan’s Act on the Protection of Personal Information (the "APPI") and other applicable laws with respect to the personal information we obtain through the website we operate (the "Site"). We have established and appropriately handle personal information in accordance with this Privacy Policy (this "Policy").
Article 1 (Definition of Personal Information)
In this Policy, "personal information" means "personal information" as defined in the APPI: information about a living individual that can identify the specific individual by name, address, telephone number, email address, or other descriptions contained in it (including information that can be readily collated with other information and thereby identify the individual), or that contains an individual identification code.

Article 3 (Personal Information We Collect and How)
We collect mainly the following personal information through the Site’s contact form and similar means.
- Name
- Email address
- Company or organization name (where provided optionally)
- The content of your inquiry or request
In addition, we may collect your name, contact details, work history, and other information within the necessary scope in connection with business or partnership communications, or when you apply for a position with us. We collect this information directly from you, as entered or provided by you. We do not collect credit card numbers, bank account numbers, or other payment information through the Site.
Article 4 (Purposes of Use)
We use the personal information we collect within the scope of the following purposes.
- Responding to inquiries and requests (including verifying identity, replying, and managing records of our responses)
- Communicating with clients and partners, concluding and performing contracts, and related administration
- Providing information about our business and services, and sending important notices
- Communicating with, screening, and managing job applicants (where we collect recruitment-related personal information)
- Purposes incidental to the above
Article 5 (Changes to Purposes of Use)
We will change a purpose of use only within a scope reasonably deemed to have relevance to the purpose before the change, and if we do so, we will notify you of the changed purpose by publishing it on the Site or by other appropriate means.
Article 6 (Provision of Personal Data to Third Parties)
Except in the following cases, we will not provide personal data to third parties without first obtaining your consent.
- Where required by law
- Where necessary to protect a person’s life, body, or property, and it is difficult to obtain your consent
- Where specially necessary to improve public health or promote the sound development of children, and it is difficult to obtain your consent
- Where necessary to cooperate with a national agency, a local government, or a party entrusted by them in performing legally prescribed duties, and obtaining your consent is likely to impede those duties
Article 7 (Entrustment of Personal Data Handling)
Within the scope necessary to achieve the purposes of use, we may entrust all or part of the handling of personal data to external service providers. In such cases, we select providers after appropriate due diligence and, through contracts and other means, exercise necessary and appropriate supervision so that personal data is handled properly by the provider. The main services to which we entrust personal data handling are set out in the following Article.
Article 8 (Provision/Entrustment to Third Parties Abroad; Understanding the External Environment)
In operating the Site and responding to inquiries, we use cloud services and similar services provided by companies located outside Japan, and accordingly may handle personal data overseas. The main services currently in use and the countries where they are located are as follows.

We conclude agreements with these providers regarding the handling of personal data (including data-processing provisions) and endeavor to maintain the framework necessary to continuously take measures equivalent to those we are required to take under the APPI.
We also understand the personal-information protection systems in the foreign country (the United States) where each provider is located, based on information published by the Personal Information Protection Commission and other sources, and take necessary security measures. We understand, as part of the external environment, that the United States has no comprehensive federal law equivalent to the APPI or the EU GDPR, and is instead governed by sector-specific federal laws and state laws.
Article 9 (Security Measures)
We take necessary and appropriate measures—including organizational, human, physical, and technical measures, and understanding of the external environment—to prevent leakage, loss, or damage of the personal data we handle and to otherwise manage its security. For inquiries about the specifics of our security measures, please contact the point of contact in Article 13.
Article 10 (Cookies, Access Analytics, and External Transmission)
To improve our services and understand usage, the Site uses Google Analytics (Google Analytics 4) provided by Google LLC as an access-analytics tool that uses cookies and similar technologies. Accordingly, the Site transmits part of the user’s device information to Google as an external transmission under the Telecommunications Business Act. The details of the transmission are as follows.
- Information transmitted: the URL of the page viewed, date and time of viewing, referrer, environment information such as browser and OS, identifiers assigned by cookies and similar technologies, IP address, and the like
- Recipient: Google LLC (United States)
- Purpose: to understand and analyze the Site’s access and usage, and to improve the Site
Google Analytics collects information using cookies and similar technologies. For how the collected information is handled, please review Google’s privacy policy and terms. You can stop the external transmission by disabling cookies in your browser settings or by using an opt-out method provided by Google (such as the Google Analytics Opt-out Browser Add-on). If you disable cookies, some features of the Site may not function properly.
Article 11 (Requests for Disclosure, Correction, Suspension of Use, etc.)
In accordance with the APPI, you may request that we disclose your retained personal data; correct, add to, or delete its content; suspend or erase its use; or suspend its provision to third parties. Please make such requests to the point of contact in Article 13. After confirming that the request is from the individual, we will respond without delay in accordance with the law. We may charge a fee of 1,100 yen (tax included) per request for disclosure.
We may decline all or part of a request for disclosure or similar in any of the following cases. In such cases, we will notify you that we will not disclose the information, together with the reason.
- Where there is a risk of harm to the life, body, property, or other rights or interests of the individual or a third party
- Where there is a risk of significant impediment to the proper conduct of our business
- Where doing so would violate other laws or regulations
Article 12 (Response in the Event of a Leak, etc.)
In the event of a leak, loss, damage, or other situation that may harm the rights and interests of individuals with respect to personal data, we will take necessary action in accordance with the law, including reporting to the Personal Information Protection Commission and notifying the individuals concerned.

Article 14 (Changes to This Policy)
We may change this Policy in response to amendments to laws, changes to our business, and the like. The revised Policy takes effect from the time it is posted on the Site. For significant changes, we will notify you by an announcement on the Site or by other appropriate means.
